Job Description

Position Summary: The Director of Clinic Operations is responsible for providing leadership and operations management to the clinic network. This position is generally and primarily responsible for the financial and operational performance of the clinic network; this position will work in collaboration with VPMA and/or Clinical Practice Manager who have primary responsibility for clinical quality of care in the clinic network.

Responsibilities:

  1. Developing and implementing tactical supports for the District strategic long and short-term goals and associated business plans as they relate to the clinics.
  2. Works closely with the Finance and Revenue Cycle leadership in forecasting and preparing annual budget and financial statements. Regularly monitors financial performance and assembles data ensuring effective decision-making.
  3. Represents clinic network and interacts with regulatory agencies, insurance carriers, and other professional and community groups.
  4. Participates in contract negotiation with the intent of maintaining long-term relationships.
  5. Ensures compliance with state and federal regulations and industry requirements.
  6. Enhance operational effectiveness, emphasizing cost containment and high quality patient care. Conduct feasibility studies for capital expenditures.
  7. Maintain open lines of communication with staff to ensure high productivity and excellent customer and community relationships.
  8. Conducts applicant screening and interviews to fill staff vacancies in keeping with HR guidelines.
  9. Responsible for new employee orientation to assure familiarity with job requirements, relevant policies and procedures, proper use of tools and equipment, productivity expectations, safety practices, etc.
  10. Manages departmental change to reduce adverse impacts on customers and employees and to smoothly facilitate the desired result.
  11. Conducts employee performance evaluations for all direct reports.
  12. Approves staff timecards/time sheets bi-weekly or as required by payroll.
  13. Attends key regular meetings: a. Clinic Excellence; b. Clinics Leadership; c. Monthly Responsibility Report
  14. In coordination with Human Resources monitor necessary employee credentialing and testing compliance.
  15. Exemplifies excellent customer service with patients, visitors, and other employees; shows courtesy, friendliness, helpfulness and respect.
  16. Performs other duties as assigned

Qualifications

Education/Training: Bachelors or equivalent degree. A Masters and/or graduate degree in a healthcare field, business administration or a related field is preferred. Relevant work experience may substitute for education.

Experience: Minimum of three years of progressive management experience with at least one year experience in a clinic setting.

License/Certification: Certified in a healthcare field preferred—current or expired acceptable and proof of automobile liability insurance coverage.

Skills: Fluency in Microsoft Office programs; excellent communication skills, verbal and written; ability to present information to large groups (skills in public speaking) and one-to-one; ability to work independently; keen organizational skills; and familiarity with healthcare terminology and systems necessary. Ability to exercise independent judgment and discretion; ability to work under limited supervision; ability to act as a resource to employees regarding employment policies and procedures; and the ability to handle priorities simultaneously with frequent interruptions. Must be comfortable working collaboratively with other departments and resources within the context of a growing healthcare organization structure. Excellent interpersonal and customer services skills. Knowledge of and experience in a health care setting and familiar with current outpatient payment reform preferred.

Environmental and Job Hazards:

Physical and Mental Demands: Ability to work at a computer terminal for extended periods of time on a daily basis. Physical requirements for this position include: hearing, seeing, and speaking. This position requires sitting for long periods of time and walking and/or standing is only required occasionally. This position requires exerting up to 10 pounds of force in order to lift, carry, pull, or move objects. Must be able to travel by automobile in Washington State.
