CLINIC OPERATIONS COORDINATOR

OBJECTIVE SUMMARY: Responsible for day-to-day operation of all outpatient clinics according to the direction set out by the Director of Clinic Operations

ESSENTIAL FUNCTIONS:

  • Care Coordinator
    • Complete certification within first year in position (cost sponsored by District)
    • Assist patients navigate multiple care options at SVH and other facilities and programs
  • Schedules
  • Clinic staff
    • Medical Assistants, Discharge Coordinator at SVHC, and other clinic support staff as assigned by the Clinic Operations Director
    • Plan and post schedules, approve and arrange coverage plan for PTO requests
  • TimeTrak: reconcile and edit to prepare for sign-off and submission to payroll by the Clinic Operations Director
  • Interfacing with call service regarding provider schedules
  • Prepare Provider time sheet documents for Clinic Operations Director approval
  • Communicates to clinics when a provider is schedule out on PTO/CME and associated coverage plan as developed by Practice Facilitator
  • Maintain provider on-call schedule
  • Accepts and manages all daily call outs from staff and providers
  • Scheduler Super User
    • Block provider schedules after PTO/CME requests have been approved by the Clinic Operations Director
    • Schedule modifications as directed by the Clinic Operations Director or Clinical Practice Facilitator
  • Collaborate with others as needed to trouble shoot automated call reminders
  • Collecting point for staff concerns or observed issues which need additional attention by Clinic Leadership to whom Clinic Operations Coordinator will relay collected or observed issues
  • Reconciling bills from vendors
  • Patient complaints
    • Interview patients as necessary to understand complaints and satisfy immediately if possible within scope of responsibility
    • Submit Safety Zone events for complaints/concerns expressed by patients for assignment to Director for investigation and/or resolution
  • Contact point for vendors
  • Meetings
  • Organize meetings, prepare agenda and record minutes as assigned by the Clinic Operations Director
  • Communicate and post meeting minutes
  • Orders all medical and office supplies according to PAR levels
  • Prepares accurate, timely and professional business reports as assigned by the Clinic Operations Director
  • Manages special projects and events and participates on special committees as assigned by the Clinic Operations Director
  • Provides input on operational goals and manages clinic operations to achieve set targets and goals
  • Compliance
  • Ensures clinic compliance with all Rural Health, Federal and State standards, regulations and laws
  • Ensures clinic and staff compliance with all Snoqualmie Valley Hospital and Clinic policies

ADDITIONAL RESPONSIBILITIES:

  • Clinic Operations Coordinator is responsible for overall clinic operations in the absence of the Clinic Operations Director
  • Back up coverage for Discharge coordinator at SVHC
  • Other duties as assigned and accepted

REQUIRED EDUCATION: Bachelor’s Degree

PREFERRED EDUCATION: Certification in Care Coordination or equivalent within 12 months of entry into role

REQUIRED EXPERIENCE: At least two years working in a healthcare setting with at least one year being responsible for staff scheduling and time and attendance tracking

PREFERRED EXPERIENCE: At least one year supervisory experience

REQUIREDS SKILLS:

  • Advanced knowledge of Microsoft Office and other computer based tools
  • Effective communication skills both verbally and written
  • Capable of collaborating with a variety of personality types
  • Capable of independent decision making, supervision and efficient time management
  • Project Management skills

WORK ENVIRONMENT:

  • Good working conditions. Clean, well-lighted, temperature controlled area.
  • No chemical exposures other than usual healthcare environment cleaning products

PHYSICAL DEMANDS:

  • Sitting, standing, and walking over course of work day
  • No lifting over 5 pounds
  • Extended times of computer work
