OBJECTIVE SUMMARY: A nonexempt position responsible for scheduling exams, providing optimum service to the customer and supporting the medical Imaging department to effectively and efficiently maximize schedules. The position may also include patient scheduling for other departments, e.g. Endoscopy, Infusion, and Wound Care.


  • Schedules appointments for patients either by phone when they call in or in person after an office visit.
  • Answer phones and guide patients by kindly talking them through the steps and answering their questions and concerns.
  • Input/update patient information in our medical system.
  • Cross-train and help in other departments if needed.
  • Uses computerized system to match provider availability with patient’s preferences in terms of date and time.
  • Provide information concerning examination content, pre-examination instructions, and timetables.
  • Act as a liaison between physician offices and department concerning needed preps, medical necessity, information and problems.
  • Maintains scheduling system so records are accurate and complete and can be used to analyze patient/staffing patterns. Provides daily schedules to providers or medical assistants prior to each days visits if requested.
  • Ensures that updates (e.g. cancellations or additions) are input daily into the master schedule.
  • Communicates as needed with the providers and other staff about any patient concerns/issues related to scheduling. Consults with informatics about any system problems.
  • Uses customer service principles and techniques to deal with patients calmly and pleasantly.
  • Participate in various projects and/or meetings, and complete other tasks as assigned by management.


REQUIRED EXPERIENCE: Minimum one year of experience in an appointment scheduling position, preferable in a medical practice setting

PREFERRED EXPERIENCE: One to four years of related experience.


  • Experience in the medical field preferred.
  • Understanding of imaging procedures required.
  • Customer service experience required.
  • Ability to think and work independently in a fast-paced environment.
  • Excellent communication skills essential.
  • Exceptional communication skills, both verbal and written, required.
  • Proficient knowledge of Microsoft Office Suite required.
  • Ability to maintain patient and employee confidentiality.
  • Enthusiastic commitment to providing state of the art, innovative and advanced medical care and exceptional customer service to patients and internal customers.

WORK ENVIRONMENT: Medical office or reception area. Exposure to communicable diseases and other conditions related to clinic setting. Standard office equipment with emphasis on computer hardware and software as well as the telephone

PHYSICAL DEMANDS: Mostly sedentary with some standing, walking, reaching. Periodic stress from handling many calls and patient requests.
